1. Guest Privacy
Your event organizer uses Polar to manage their event. Here's what that means for your data.
What we store
When you register for an event that uses Polar, the event organizer shares some of your info with us:
Your name and email — so the organizer can manage their guest list and follow up after the event.
Your registration answers — whatever you filled in when you signed up (e.g. dietary preferences, company name, job title).
Whether you checked in — so the organizer knows who actually showed up.
That's it. We do not collect your location or anything else.
Where it lives
Your data is stored in the EU (Frankfurt, Germany) on encrypted servers. It doesn't get sold, shared with advertisers, or used for anything other than helping the event organizer run their event.
Who can see it
Only the event organizer and their team. Each organizer has their own workspace in Polar — they can only see data from their own events, never anyone else's.
RFID Module
Some events use the Polar RFID Module for badge-based check-in, to measure their activations and understand room capacity over time. If yours does, here's how it works:
The RFID reader scans your wristband at specific points in the Venue.
All the detailed scan data stays on the local hardware - it never gets sent to Polar.
Polar only receives aggregated numbers, like "42 people checked into the morning keynote." Nothing that identifies you individually.
The RFID Module does not track your movement, location, or behaviour at the event.
Your rights
You can ask the event organizer to:
Show you your data — get a copy of everything they have on you.
Fix your data — correct anything that's wrong.
Delete your data — have it removed entirely.

Under GDPR, the event organizer is the "data controller" — they decide what to collect and why. Polar is the "data processor" — we store and manage the data on their behalf, following their instructions.
